3. Registration & Delegate Passes
Registration requires accurate information about each delegate. Passes are personal and non-transferable except by substitution (see Section 5). Early-bird pricing applies to registrations completed between 1 August 2026 and 15 October 2026. Group registrations are billed for all named delegates at the selected tier. Student-tier registrations may be asked to verify current enrollment.
4. Payments
Registration fees are stated in US dollars. Payment is completed through a secure payment link issued by the SANGAM secretariat or, for institutional registrations, by invoice. A registration is confirmed once payment is received. We do not collect or store payment card details on this website.
5. Cancellations, Refunds & Substitutions
- Substitutions: you may transfer your pass to a colleague at the same institution at any time before the summit, at no cost, by emailing contact@southasia-ien.org.
- Until 30 September 2026: cancellations receive a full refund less a 10% administrative fee.
- 1 October – 15 November 2026: cancellations receive a 50% refund.
- After 15 November 2026: registration fees are non-refundable; substitutions remain available.
- If a visa application is refused despite timely application with our visa-support letter, a full refund less the administrative fee will be issued on presentation of the refusal notice.
- If the summit is canceled by the organizers, registration fees will be refunded in full. The organizers are not liable for travel or accommodation costs; delegates are encouraged to hold refundable bookings and travel insurance.
6. Call for Proposals
Proposals are open 1 August 2026 – 31 August 2026, with peer review finalized by 30 September 2026. By submitting a proposal you confirm the work is your own (or that you have the right to present it) and grant SouthAsia-IEN a non-exclusive license to publish the title, abstract, and author names in the summit program and archives. Acceptance of a proposal does not waive the registration fee unless expressly stated.
7. Code of Conduct
